PAPER/POSTER PARTICIPANTS
What You Should Know

Do not agree to give more than one paper/poster. NOTE: Participation in an Invited Roundtable session counts as giving a paper.

If your paper is part of a session, you do not have to wait for the session organizer to submit the session structure before you submit your paper. For information on how participants/posters are linked to sessions, see below.

Papers/Posters are 15 minutes each.

Notifications of acceptance/rejection will be sent via e-mail in early August. NOTE: Decisions are final; there is no appeals process.

SESSION ORGANIZERS
What You Should Know

Organizers should check the progress of the session to make sure each participant registers and/or submits a paper/poster by April 1st. If a participant role is incomplete -- either by not registering or not submitting an abstract -- the participant will not appear as part of their session in the preliminary or final program.

Sessions must be submitted as single or double sessions. A single session is 1.75 hours or seven 15 minute time slots; a double session is 3.75 hours or fifteen 15 minute slots.

If you don't know who all of your participants will be, you may put a "break" or a "discussion" to hold the spot and submit your session. You can then go back and edit the session once you have the necessary information.

Once you have submitted your session, you may go back and edit your submission until 5pm ET April 1, 2008. You must go through all of the steps (each time you edit) and receive a final confirmation every time for your submission to be saved.

We will use the first legitimate roles entered for participants with too many roles

Make sure that none of your paper/poster participants have promised to give a paper/poster in another session. This is not allowed and will cause significant problems with your session submission. Note: Participation in an Invited Roundtable counts as giving a paper!

OTHER USEFUL INFORMATION
TYPES OF SESSIONS
Invited Sessions: sessions organized by sections of the AAA. Submit suggestions for content and coverage to the member of the program committee representing the appropriate section. These include the roundtable format. Read more about Invited Sessions >

Volunteered Papers/Posters: Individual papers/posters which are submitted independently from organized sessions. If accepted, these papers will be grouped by the program committee into sessions around a common topic/theme. Read more about Volunteered Papers/Posters Sessions >
AAA Public Policy Forums: Scheduled forums to discuss critical social issues. No papers are presented at policy forums. These sessions typically have at least one policymaker present. Special deadline: March 1. Read more about Public Policy Forum Sessions >
Special Events: These include business meetings, committee and board meetings, workshops, food and beverage functions, and panels. Special events are limited to 1.25 hours. NOTE: Special event participation does not count against the one role rule. Read more about Special Events Sessions >
HOW PARTICIPANTS/PAPERS/POSTERS ARE LINKED TO SESSIONS
In a session, participants/papers/posters are linked to sessions automatically by the registration system.
When the session organizer submits the session proposal he/she is required to identify the participants by searching for them in the system.
If the participant is not found in the search, the session organizer should put a break in that position and then save the proposal in the system. Once the participant is in the system (by joining the AAA or requesting a waiver) the session organizer may return to the system and link that participant to the session.
Once the participant has submitted their paper/poster (if appropriate) it will automatically be linked to the session (even if the paper was submitted before the session) as long as the participant doesn't have multiple records in the system.
PITFALLS TO AVOID
Danger of multiple records in the system: This is the most common and significant problem that occurs during the submission process. When multiple records are listed in the system, it is very difficult for the session organizer to know which record to link to their session. If you notice that you or anyone else has multiple records contact the membership department immediately.
Multiple records occur when the participant uses one record and the session organizer uses another record during the submission process. This may cause the paper/poster NOT to be linked to the session and to be excluded from the preliminary and final program. Read More about Multiple Records >
ABOUT THE SVA/AAA MEDIA FESTIVAL
The 2008 SVA/AAA Film, Video and Interactive Media Festival will take place during the 107th AAA Annual Meeting. As in the past, SVA selects a jury of anthropologists and film scholars who decide which submissions to include in the festival and, among those, which will receive awards. We continue to welcome interactive media work, and we also encourage short works which are under 15 minutes. DVD formats are fine. Registration for all submissions must be completed by April 1 at the AAA Meeting Registration Site online.
To be considered, filmmakers and distributors are asked to send work to Joyce Hammond, Department of Anthropology, Mail Stop 9083, Western Washington University, Bellingham, WA 98225, postmarked no later than April 1.
Students who are just finishing a film also must register by April 1, but they may submit their work up until May 15. Submitted materials will not be returned. Award winners will be notified in the summer and clips of award winners will be placed on SVA’s website.
