Roles and Responsibilities

All submissions have to be submitted by April 1, 5 p.m. EST. You can make any changes to your proposal up to that time. The Abstract Submission system will be close on April 1.
  • ORGANIZER
    • The organizer mobilizes presenters around a particular topic.
    • The organizer must be a current AAA Member (or have a waiver), register for the meeting and submit the session structure (title of session, reviewing section, keywords, session abstract, and list of participants) is submitted to the AAA.
    • The organizer should periodically check the progress of the session to make sure each participant registers and or submits their paper by the deadline. The organizer contacts participants who show as incomplete in their sessions. Any participants who show incomplete in your session by April 1 will NOT be listed in the program; his/her role will be changed to discussion.
    • The organizer will encourage presenters to get their papers to the discussants. Once you have submitted your session, you may go back and edit your submission until April 1, 2009, 5 p.m. EST. You must go through all of the steps (each time you edit) and receive a final confirmation every time for your submission to be saved. Make sure that none of your paper/poster participants have promised to give a paper/poster in another session. This is not allowed and will cause significant problems with your session submission.
    • The organizer will be notified whether the session was accepted; the organizer is responsible for notifying all participants.
  • SESSION CHAIRPERSON
    • The session chairperson moderates the session.
    • This frequently includes a few words of introduction about the topic and how the session will work. For example, the chairperson will want to tell presenters that they will have to stop talking when their 15 minutes are up.
    • The chairperson concludes the session on time.
    • The chairperson will be a current AAA Member (or have a waiver), register for the meeting, but does not submit a paper.
  • DISCUSSANT
    • The discussant is responsible for highlighting the relationships between papers and the topic. He/She has received the papers in advance of the meeting and has prepared comments. This person will raise critical issues for both the presenters and the audience to think about. The session organizer will add discussants to the session structure.
    • The discussants must be a current AAA Member (or have a waiver), register for the meeting but will not submit a paper.
  • PAPER/POSTER PRESENTER
    • Paper/poster presenter may only give one paper or one poster.
    • In the same session, a presenter may have these combinations of roles: organizer/chair, organizer/introduction, organizer discussant, organizer/paper. These combinations count as one role in the same session. As a paper presenter, you may have a second role as chair, or discussant in another session.
    • Paper presenters will present their work at the meeting for 15 minutes as part of a session. We will use the first legitimate role entered for participants with too many roles.
    • The presenter needs to be a current AAA Member (or have a waiver), register for the meeting and submit their paper online.
  • SESSION PAPERS
    • If your paper is part of the session the organizer has already added your name to the session structure and your paper when submitted will automatically be linked to the session.
  • INDIVIDUALLY VOLUNTEERED PAPER
    • If your paper is individually volunteered your paper, you will need to enter the title of your paper, the section that will review your paper, key words, abstract (up to 250 words) and co-authors.
  • CO-AUTHORS
    • Co-authors of papers do not have to be AAA members.
    • Co-authors are identified by the principal author and do not have to register, unless they are planning on attending the meeting.
    • Please note co-authors do not submit papers; the principal author is responsible for submitting the paper.
  • NOTIFICATIONS
    • Notifications of acceptance/rejection will be sent via e-mail in early August.
    • NOTE: Decisions are final; there is no appeals process.
